1. Take the request form seriously
The procurement of medical equipment is determined based on the principle of "leading in skills, reasonable in economy, and applicable in function" while satisfying social needs. Before purchasing the instrument, the instrument application form should be filled out by the instrument application department and submitted to the equipment department for future discussion at the hospital affairs meeting. The request form approved for purchase shall be transferred to the designated person in charge of acquisition in the Equipment Department for safekeeping; Unapproved requests should be returned to the requesting department for a clear response. After purchasing the equipment, the purchasing personnel should hand over the request for additional equipment to the archive handling personnel for safekeeping, as part of the archive materials.
2. Do a good job in instrument inspection and requisition operations
We handle the equipment usage from the arrival of the equipment to the cancellation of the requirements. This is done to ensure the safety of the equipment, including accuracy in quantity and integrity in quality, in order to maintain its practical value intact; The second is to improve the utilization rate of equipment, fully leverage its medical role, and pursue more social and economic benefits. The handling of instrument inspection and requisition is the primary task in this process.
Previously, in our hospital, the task of filling out inspection reports was always completed by the archive personnel. Due to the multiple channels for purchasing instruments and the fact that the equipment department does not have a local location for storing and handling the instruments, sometimes the instruments are directly delivered to the operating department upon arrival. The personnel responsible for purchasing and the operating department do not make inspection records or fill out inspection reports during the instrument inspection process, resulting in incomplete inspection operations and causing trouble for future operations. In order to change this situation, our hospital now requires both the purchasing personnel and the application department to fill out the inspection form together. Then, along with the contract and relevant materials, they will be handed over to the archive personnel for safekeeping. The handling personnel will create a card to record the condition of the instruments and enter it into the general ledger of the instruments and equipment in the entire hospital, as well as into the equipment account of the receiving department (which is kept by the instrument receiving department). The card is in triplicate, with the recipient signing on each card. One of the copies is the accompanying item, which should be kept by the transportation department. Where are the items and where should the card be placed.
3. Supervision and handling of instrument utilization rate
The handling of the utilization rate of instruments and equipment is an important task in the handling of instrument and equipment utilization, and an important goal in evaluating the quality of instrument and equipment handling. In the "Grade III" inspection of hospitals, there is a moderately strict demand for instrument utilization rate (i.e. requiring each device to work for more than 30 hours per week). Improving the utilization rate of instruments and equipment is a powerful way to fully tap into the value of equipment utilization, reduce the proportion of equipment funds occupied, and achieve better economic benefits. We are using valuable instruments in the department to obtain a survey form on equipment utilization rate. The form is filled out by the users, and the equipment department regularly retrieves and conducts research, rewarding excellence and punishing inferiority. This can improve the utilization rate of the instrument and extend the service life of the equipment. Furthermore, this approach can also promptly identify problems and provide reference for leaders in selecting, scrapping, and adjusting equipment.
4. Scheduled viewing of equipment
We need to inspect all medical equipment in the hospital every two years to eliminate discrepancies and improve the utilization rate of instruments. Recently, we have discovered many problems during the inspection of medical equipment in hospitals. Some instruments that do not require a lifespan of years, whether it is natural lifespan, economic lifespan, or skill lifespan, are not invalidated; Some instruments are reported as damaged but not accounted for; Some departments agree to adjust instruments on their own, but without going through the equipment department and completing the necessary procedures; Some departments collect instruments and then put them away without using them, resulting in forgetting or losing them over time; Some departments send out instruments for external repair without authorization, but they haven't been repaired for a long time. During the verification process, on the one hand, we reminded the department to handle the procedures, and on the other hand, we also urged the department to make full use of the existing instruments and equipment. The department understood the importance and scientificity of instrument processing.
